How to Accurately Calculate the Amount of Advertising Candies You Need

Calculating how much to order candy for a social, corporate event
Promotional candies are a great way to attract customers at trade fairs, corporate events or in promotional packages. There's one question that plagues many organisers: how many kilos of sweets do I need to order to cover the whole event without running out? Our recommended calculation will save you not only money, but also unnecessary stress. Here's how to do it.
1. Specify the number of participants
The first step is to find out how many people will attend your event. If it's a public fair, try to estimate based on the number of visitors from previous years. If you are hosting a corporate event, base it on the number of invited guests.
2. Estimate the amount of sweets per person
Usually, one person is expected to take several candies. On average, this can be around 5-10 pieces per person. This estimate also depends on the type of candy and packaging. Small, individually wrapped sweets are often taken in larger quantities. In contrast, chocolate candies are consumed by participants one at a time and immediately.
You also need to work with the type of participants. Consumption of promotional sweets will be different at a children's day and at a conference on healthy eating. Children definitely eat more sweets and also take a lot for afterwards.
3. Important is the length and type of action
Is your event a one-day event or a multi-day event? For shorter events you need fewer candies, while for multi-day fairs or conferences you need to continuously replenish your stock.
4. Type of packaging and size of candies
The size and type of candy packaging play a big role. If you have a packet with smaller candies (e.g. 2-3 grams per piece), you need more kilograms than if you have a packet with larger candies (e.g. 5-10 grams per piece). Recalculate the total quantity based on the weight of each candy.
5. Plan a reserve
The more the better is definitely the rule. Adding 10-20% to the estimated quantity will ensure that you have enough candy even if the turnout is higher than expected.
6. Example of calculation
Let's say you are expecting 500 visitors and plan for each attendee to consume about 10 candies. If each candy has a weight of 4 grams, the total consumption will be calculated as follows:

Classic promotional candies are ordered by kilograms, so it is necessary to calculate how many kilograms of promotional candies need to be ordered.
The total weight of the order will therefore be:
| 5000 | candies | |

| 20000 | g = 20 kg |
This means that your social or corporate event will require approximately 20 kg of printed promotional candies.
If you add a reserve of 20%, you will get 24 kg, rounded up to 25 kg, of printed promotional candy.
